Project Intake Form
What
A document provided to the Subject Matter Experts or stakeholders on a project for them to fill out with all of the content they expect to be covered within the training they are requesting.
Why
We often would have stakeholders with unrealistic expectations of how much content we should put into a course or how we actually structure the content within a course. Training is often seen as a quick solution to a problem, but by asking questions like 'What is the problem we're trying to solve' and 'How will we measure the success of this training', we were hoping to better understand the ask from the stakeholder and steer the solution in an appropriate development direction.
Result
Our team adopted using this form for project intake, presenting it to the stakeholder in our initial scoping meeting and requesting they fill it out within the following week to help us appropriately understand their request. On the stakeholder side, we immediately saw a better understanding of our development process and why we ask the questions we do. On our development side, we were able to keep project expectations in check (referring back to the initial planning document whenever scope creep began to happen) and have more fruitful planning meetings with our stakeholders and subject matter experts.
